  • Dext vs Hubdoc (2026): which receipt app should you use?

Pricing checked 3 November 2026 on each vendor’s official pricing page (linked below). Prices change often, so confirm the current price and whether it includes GST before you buy.

How we put this together: this comparison is based on the vendors’ public pricing pages, help documentation and app-marketplace listings. We have not run these products in a live business file for this article, and we say so wherever that matters. How we review.

Dext and Hubdoc do the same basic job: you photograph, email or upload a receipt or bill, the app reads the supplier, date, amount and tax, and it pushes that data into your accounting software with the source document attached. The difference that matters most in 2026 is cost. Hubdoc is owned by Xero and is included with Xero business plans, while Dext is a separate subscription that works across more accounting platforms and has more add-on extraction features.

    The short answer

    • On Xero with a modest volume of receipts and bills? Start with what is already in your subscription: Xero’s own document capture and Hubdoc. There is no extra cost to try them.
    • On QuickBooks Online, or handing paperwork to a bookkeeper who works across several platforms? Dext is the more flexible choice because it publishes to many more integrations.
    • Need line items, bank-statement extraction or supplier statements? Dext offers these as part of its plan allowance and as paid add-ons. Hubdoc’s public pricing page doesn’t list equivalent add-ons.

    How Hubdoc fits with Xero

Xero bought Hubdoc in 2018, and Xero’s app-marketplace listing for Hubdoc says it is “included in Xero Starter, Standard and Premium plans”. Those are Xero’s older plan names. On its current Australian pricing page Xero lists “smart document capture” on every plan (basic extraction on Ignite) and links to the Hubdoc terms of use. In practice, a Xero subscriber should check what is already switched on in their organisation before paying for anything else.

Hubdoc also syncs with QuickBooks Online, which is where its US$12 standalone price applies. On Xero’s cheaper Cashbook and Ledger plans (sold through accountants), Hubdoc is billed separately.

    Where Dext is stronger

    • Breadth of integrations. Dext says it publishes to more than 36 accounting and business integrations, including Xero and QuickBooks Online. That matters if your bookkeeper serves clients on different platforms, or if you might change platforms later.
    • Defined extraction allowances. The plan sets out what you get each month (documents, bank-statement sheets, line-item documents, supplier statements), and you can buy more.
    • Multi-user from the start. Five users are included, and each extra user lifts the document allowance.

    Where Hubdoc is stronger

    • Cost for Xero users. If it’s already included in your Xero plan, the extra cost is zero.
    • One vendor. Xero owns Hubdoc, so support and billing for the capture tool and the ledger sit with the same company.

Questions to answer before you choose

    1. Which accounting platform are you on now, and are you likely to stay on it?
    2. Roughly how many receipts and bills do you process each month? Compare that with Dext’s 250-document allowance.
    3. Do you need each line item of an invoice coded separately (common for trades and hospitality suppliers), or is a header-level total enough?
    4. Who does the data entry: you, a staff member or an outside bookkeeper? Ask your bookkeeper which tool they already use, because switching costs them time too.

    Our verdict

For a small Australian business on a current Xero plan, try the included options first: Xero’s document capture and Hubdoc. Pay for Dext when you outgrow them, need line-item or statement extraction, or work with a bookkeeper who runs Dext across many clients. QuickBooks Online users are comparing two paid tools, so put Dext’s A$33.58 per month (ex GST) against Hubdoc’s US$12 and weigh that against the features you actually need.
